DigitalNation BMS — Track Repairs and Warranty

Track both repairs and warranty in BMS — find devices by IMEI, build job cards, auto-track warranty, expiry alerts, supplier claims. For mobile shops and electronics. This tutorial walks you through both workflows.

The customer walked off — and now you’re not sure whose phone had which problem. Or when the warranty runs out. That ends today.

When to Open a Repair Job

Any time a customer leaves a device for repair — phone, laptop, anything.

Minimum record:

Item Why it matters
Customer name and phone To reach them
Device details Model, color, IMEI
Issue description What’s wrong
Estimate What you quoted

Step 1: Start a New Job

Open Repair Jobs → click New Job.

Step 2: Customer and Device

📸 [SCREENSHOT 11.2: Customer + Device]
Location: /vendor/repair-jobs/new
Capture: Customer + device model + IMEI + password fields
Field Why it matters
Customer name + phone Contact and verification
Device brand and model Right identification
IMEI Unique number
Device password So you can test it

Tip: Write the device password down. Don’t let “it won’t unlock” become a problem later.

Step 3: Issue and Estimate

📸 [SCREENSHOT 11.3: Issue + Estimate]
Location: /vendor/repair-jobs/new → Diagnosis
Capture: Issue description + estimated cost + promised date
  • Issue description — what the customer said
  • Estimated cost — a rough figure
  • Promised date — when it’ll be ready

Tell the customer — in writing. No future arguments.

Step 4: Job Complete

📸 [SCREENSHOT 11.4: Mark Complete]
Location: /vendor/repair-jobs/{id} → Status
Capture: Status selector + final cost + parts used

When the repair is done:

  • Status → Complete
  • Final cost — what it actually took
  • Parts used — if pulled from stock

The system recalculates profit and cost on its own.

Step 5: Delivery and Confirmation

📸 [SCREENSHOT 11.5: Delivery]
Location: /vendor/repair-jobs/{id} → Deliver
Capture: Delivered date + signature + payment received

Click Deliver → confirm with the customer → log the payment.

Done — job recorded, customer satisfied, you unbothered.

Warranty Tracking

Every sale carries its own warranty — in days, per product.

On the Warranty page:

  • What, until when — all clear
  • Search by IMEI — any device, instantly
  • Expiry alerts — before it slips away
  • Warranty card PDF — print it, hand it to the customer

Warranty claim — faulty item came back? File it against the supplier in one click.

Frequently Asked Questions

How do I track mobile repairs and warranty with software in Pakistan?

In BMS, go to Repair Jobs → New Job — enter customer, device, IMEI, issue, estimate. A job number is auto-generated; print the job card. When the work is done, update status, record payment, and confirm delivery. Warranty is tracked automatically — search by IMEI, expiry alerts, supplier claims in one click.

Can I edit a repair job later?

Yes — estimate, final cost, notes — all editable.

How does warranty attach itself?

At the moment of sale — linked to the product or IMEI. No manual step.

A customer comes in with a warranty claim?

Search by IMEI → warranty status appears → file the claim.

Can I send the warranty claim to the supplier?

Yes — file the claim, upload a damage photo, and click “Send to Supplier”. Your loss becomes zero.
