Customer Portal
Give customers read-only access to their own ledger. Fewer calls, stronger trust — they check themselves.
DigitalNation BMS — Customer Portal
The customer keeps coming back.
“Bhai, show me my account.”
“Bhai, how much did I pay?”
“Bhai, how much is left?”
Every time you turn the screen, open the ledger, show receipts. The customer doesn’t leave satisfied — doubt lingers.
Every week, every month, the same questions. Your time, your patience.
And then one day the customer walks in — “I paid this amount, you forgot.”
But the proof? You have it — they don’t. The doubt remains.
DigitalNation BMS (Business Management Software) shows every customer — themselves.
When you add a customer, the system can create a portal account for them.
The customer gets access with their phone number and password. They check for themselves:
- Full ledger — every purchase, every payment
- Current balance — what’s owed, what’s in advance
- Every invoice detail — what was bought, when, how much
- Payment history — when paid, how much paid
- PDF download — for their own records
Your calls reduced. Customer’s doubt gone. Trust stronger.
What the Customer Portal shows
When the customer logs in:
- Dashboard — balance summary, recent transactions
- Ledger — full history, every transaction
- Balance — live, always current
- Sale detail — what was bought, when
- Payment detail — when paid, how much
- PDF download — ledger or receipt
- Own profile — contact details
Everything they ask for — they check themselves.
What the customer cannot do
⚠️ The customer can only read — no edits allowed.
- ❌ Cannot edit any sale
- ❌ Cannot enter any payment
- ❌ Cannot record any return
- ❌ Cannot see other customers’ data
- ❌ Cannot see your suppliers’ information
- ❌ Cannot see your business data
Only their own account — only theirs.
Which customers can use the portal?
💡 Only registered customers — the ones you’ve added in the system.
Counter sale / walk-in customers:
- ❌ No portal
- Counter sales don’t create a customer account
- Only a phone number (optional)
Registered customers:
- ✅ Portal available
- When you add a customer
- Portal account can be created automatically
When automatic:
- When adding a customer, select “Give Portal Access”
- Or later via Customer Detail → “Enable Portal”

Telling the customer about the portal
When adding a new customer:
💡 Pro tip: Tell the customer on the spot — “Bhai, you have your own portal. Check it whenever you want — I’m available anytime.”
Benefits:
- They’re prepared
- They check instead of asking
- Your professional approach shows
If the customer isn’t tech-savvy:
- Teach them — a 5-minute job
- Or — tell their son / daughter / partner
- Or — do a guided login the first time
Most customers start checking themselves after 2-3 times.
Should every customer get a portal?
Recommendation:
| Customer type | Portal? |
|---|---|
| Regular customer (close, friendly) | ✅ Yes |
| Credit customer | ✅ Yes |
| Installment customer | ✅ Yes — essential |
| High-value buyer | ✅ Yes |
| Counter / walk-in | ❌ No — no account exists |
Goal: Any customer who repeatedly asks about their account — give them the portal. Your time saved.
Frequently asked questions
Is the Customer Portal separate software?
No. It’s part of BMS — but a read-only version for the customer.
Does every customer get a portal?
Only registered customers. Counter sale / walk-in customers don’t have an account, so no portal.
Is using the portal mandatory?
No. If the customer doesn’t use it, you can still build and send PDFs. But it’s recommended to teach them — saves your time.
Can the customer open the portal on mobile?
Yes. The portal is fully mobile-responsive. Open on any mobile browser, log in, view.
What if the customer doesn't have an email?
Use their son’s / daughter’s / brother’s / friend’s email. It doesn’t have to be their own.
Can the customer see your suppliers?
No. The customer only sees their own account — not your business’s other information. Full privacy.
Can one customer have multiple accounts?
No. One customer — one account. Logs in with the same phone number.
What if the customer has multiple sales?
All in the same portal. They can view their full ledger — every sale, every payment.
Can the customer change their information?
They can only change contact details in their profile. They cannot change transactions with you.
Is there a fee for using the portal?
No. It’s part of your DigitalNation account — free for the customer too.
Can I disable a customer's portal?
Yes. In Customer Detail, click “Disable Portal”. They won’t be able to log in — but the record stays preserved.
Important notes
💡 Give portals to regular customers Anyone who keeps asking about their account — give them the portal. Your time saved, they stay satisfied.
💡 Always enter the email When adding a customer, always enter the email. Portal access arrives there.
💡 Help with first login Sit with the customer for the first login. A 5-minute investment — a lifetime of benefit.
💡 Give them password reset power Remind the customer every 3 months: “If you forget the password, reset it from the portal.”
💡 Break the ledger-PDF habit Stop the monthly ledger-PDF habit. With the portal, they check themselves. Your time saved.
💡 Convince, don’t force If the customer doesn’t want to use the portal, don’t force them. Keep the old way (sending PDFs) too.
