DigitalNation BMS — Sales

The sale is done. The payment isn’t.

“Bhai, I gave it last week.”

You open the notebook. Torn page. Half-written entry.

You try to remember — was it 8,000? Or 5,000? Nothing is certain.

The customer waits. You can’t prove anything. He leaves.

Next time, he buys from a different shop.

DigitalNation BMS (Business Management Software) ends this.

Every sale — in one place, in a moment, fully recorded.

The customer arrives. You create the sale. Everything is automatic:

  • Products — what was sold, how many pieces
  • Price — full amount, with discount if any
  • Payment — cash, partial, or credit
  • Customer — if registered, ledger updated instantly
  • Warranty — when it starts, when it ends — tracked in Warranty
  • IMEI — which exact unit went to whom

One sale, a complete picture.

Every sale, fully tracked

In BMS, every sale comes with:

  • Invoice number — auto-generated, your prefix
  • Date and time — precise entry for every sale
  • Customer — registered or counter
  • Payment status — paid, partial, credit, cancelled
  • Print options — thermal, A4, PDF, WhatsApp
  • Warranty period — per product
  • IMEI serial — for serialized items
  • Reversal — wrong sale cancelled, full audit log

No notebooks. No forgotten accounts. Every sale in its place.

DigitalNation Support — when a sale gets messy

Sometimes the wrong product is sold. Sometimes a customer returns something. Sometimes a sale gets entered twice.

Don’t worry. DigitalNation Support is with you:

  • Verify the wrong sale
  • Restore stock through cancellation
  • Correct ledger entries through reversal
  • Release the IMEI back to available
  • Via WhatsApp or call, quickly

We never change your data silently. Every correction is dated and logged.

Two types of sales

Type 1 — Counter Sale (Walk-in)

What it is: A customer walks in, buys an item, pays, and leaves — no need to save their details.

When to use: Most sales — fast checkout.

What gets saved:

  • Products sold
  • Quantity and price
  • Payment method
  • No customer record — just a phone number (optional, for warranty)

Type 2 — Registered Sale (Customer Account)

What it is: Sale linked to a saved customer — for credit sales, warranty claims, and complete customer history.

When to use:

  • The customer is buying on credit
  • Warranty needs long-term tracking
  • A regular customer whose history you want to keep — see Customers

What gets saved:

  • Everything from a counter sale
  • Plus: Customer link — so future payments, returns, and warranties connect automatically

IMEI validation (important)

For serialized products (mobiles, laptops):

  • Only in-stock IMEIs appear in the picker
  • Once sold, the IMEI is marked sold — cannot be sold again
  • IMEI links to the customer — useful for warranty claims

If stock is zero: The system blocks the sale with an “Insufficient Stock” message.

Adding a payment later

If the sale was on credit or partial:

Step 1: Open the sale → click “💵 Add Payment”

Step 2: Enter:

  • Amount received
  • Payment method (Cash / JazzCash / EasyPaisa / Bank)
  • Transaction ID (for non-cash)
  • Receipt photo (optional)

Step 3: Save — the due amount updates automatically

💡 Pro tip: Enter payments the moment the customer pays. Don’t leave it for later.

Cancelling a sale

When: The customer returned everything, wrong entry, or duplicate sale.

How:

  1. Open the sale
  2. Click “Cancel Sale”
  3. Enter the reason
  4. Confirm

What happens automatically:

  • ✅ Stock returns to inventory
  • ✅ IMEIs become “in_stock” again
  • ✅ Ledger gets reversal entries
  • ✅ Payment records reverse

⚠️ Important: A cancelled sale is not deleted — it’s marked cancelled. Records stay preserved.

Frequently asked questions

Is a customer name required for a counter sale?

No. Counter sales don’t save a customer record. Only the phone number is optional — useful for warranty claims.

What happens if the customer returns something?

Open the sale → click “Return” to record the return. Stock updates automatically, the IMEI becomes available again, and payment records reverse. See Returns for details.

Can I add multiple products to one sale?

Yes, unlimited. Each product carries its own price, quantity, and warranty. All on one invoice.

I picked the wrong IMEI — what do I do?

Cancel the sale — the IMEI becomes available again. Then create a new sale with the correct IMEI.

Can I change the invoice number of an old sale?

No. The invoice number is auto-generated and cannot be changed — it’s part of the audit trail. If it was wrong, cancel the sale and create a new one.

Important notes

💡 Enter payments immediately Once the customer leaves, “I’ll do it later” means you’ll forget. Enter the payment when you create the sale.

💡 Always pick the IMEI When selling a mobile, pick the exact IMEI — it’s essential for warranty claims and customer history.

💡 Give discounts in amount, not percentage “500 rupees off” is clear. “10% off” makes the math messy.

💡 Cancel, don’t delete Wrong sale? Cancel it — don’t delete. Records stay, stock returns automatically.

💡 Always fill in the PPD If the customer promised a date, enter it. It makes reminders easier.

Flow

Customer arrives ← Select products ← Enter payment ← Save sale
    ↓
Stock reduces → IMEI marked sold → Customer ledger auto-updates
    ↓
Print (thermal/A4) ← PDF ← WhatsApp
    ↓
Later payment → remaining amount updates
    ↓
Result: Every sale fully recorded, every customer's account clear,
no arguments, no losses.
