Supplier Portal
Suppliers get their own portal. They see purchases, payments, and outstanding balance — 24/7, read-only.
DigitalNation BMS — Supplier Portal
The supplier calls every week.
“Bhai, send the account.”
First week, second week, third week. You build a PDF, send it on WhatsApp. He looks, checks, then forgets. Next week — the same call.
Sometimes you’re busy, no time to prepare the PDF. The supplier wonders — “Does he have the correct account?”
Or — he hesitates to sell on credit, because he can’t judge how your payments have been.
DigitalNation BMS (Business Management Software) shows the supplier — automatically.
When you add a supplier, the system automatically creates a portal account for them.
The supplier receives login details by email. They log in themselves.
Now your work is done — everything they need is right there:
- Total purchases with you
- Total payments made
- Outstanding balance — exact to the rupee
- Returns record
- Every transaction, dated
- PDF download — for their records
The supplier cannot edit anything — read-only. Your data is fully protected.
Your calls reduced. Your time saved. Supplier’s trust stronger.
What the Supplier Portal shows
When the supplier logs in:
- Dashboard — summary of all vendors
- Your separate ledger — full history
- Every purchase — date, products, amount
- Every payment — date, method, amount
- Outstanding balance — running account, live
- Returns record — what came back
- PDF download — any ledger or receipt
- Own profile — contact details
Everything they ask for — they check themselves.
What the supplier cannot do
⚠️ The supplier can only read — no edits allowed.
- ❌ Cannot edit any purchase
- ❌ Cannot enter any payment
- ❌ Cannot record any return
- ❌ No access to your other information
- ❌ Cannot see other suppliers’ data
- ❌ Cannot see your customers’ information
Only their own account — only theirs.

Telling the supplier about the portal
When adding a new supplier:
💡 Pro tip: Tell the supplier on the spot — “Bhai, you have your own portal. I won’t send extra PDFs — you’ll check yourself.”
Benefits:
- They’re prepared
- They check instead of asking
- Your professional approach shows
If the supplier isn’t tech-savvy:
- Teach them — a 5-minute job
- Or — tell their son / nephew / partner
- Or — do a guided login the first time
Most suppliers start checking themselves after 2-3 times.
How to check if the supplier has logged in
When: You want to know if the supplier has viewed the portal.
How:
- Suppliers → select the supplier
- “Portal” tab
- Shows:
| Field | Meaning |
|---|---|
| Last login | When they last checked |
| Days ago | Calculated |
| Status | Active / Inactive |
If over 30 days since last login:
- Send them a gentle reminder
- Or teach them again
Location: Supplier detail → "Portal" tab
Highlight: Last login, status
Frequently asked questions
Is the Supplier Portal separate software?
No. It’s part of BMS — but a read-only version for the supplier.
Is using the portal mandatory?
No. If the supplier doesn’t use it, you can still build and send PDFs. But it’s recommended to teach them — saves your time.
Can the supplier open the portal on mobile?
Yes. The portal is fully mobile-responsive. Open on any mobile browser, log in, view.
Can one supplier have multiple accounts?
No. One supplier — one account — access to all vendors. That’s the global account.
If the supplier wants to change their details?
They can change contact details in their profile. But they cannot change transactions with you.
Can the supplier see your customers?
No. The supplier only sees their own account — not your shop’s customer information. Full privacy.
Can the supplier see other suppliers' accounts?
No. Each supplier sees only their own — not others’. Full privacy.
What if the supplier asks on WhatsApp instead of the portal?
That’s fine — build and send the PDF. But explain each time: “Bhai, you have your portal — check it yourself.”
Is there a fee for using the portal?
No. It’s part of your DigitalNation account — free for the supplier too.
Important notes
💡 Tell every supplier When adding a new supplier — while they’re sitting with you — mention the portal. They’ll get used to checking themselves.
💡 Always enter the email When adding a supplier, always enter the email. Portal access arrives there.
💡 Help with first login Sit with the supplier for the first login. A 5-minute investment — a lifetime of benefit.
💡 Give them password reset power Remind the supplier every 3 months: “If you forget the password, reset it from the portal.”
💡 Break the PDF habit Stop the weekly PDF-sending habit. With the portal, they check themselves. Your time saved.
💡 Watch the login status If the supplier hasn’t logged in for 30 days, gently remind them.
