DigitalNation BMS — Customers

The customer says: “I paid 5,000.”

You say: “No, it was 3,500.”

He says: “Last week.”

You say: “Last month.”

Both of you convinced. Both of you remembering your own version. But neither of you has proof.

It looks like a small argument — a dispute over 1,500 rupees. But think about what’s really happening:

  • Every argument costs you credibility
  • Every “maybe” damages the relationship
  • Every “I don’t remember” means that customer won’t come back

And the biggest loss of all? Whoever hears this story — they won’t come either.

DigitalNation BMS (Business Management Software) ends all of this.

The customer walks in. You type his name. The screen shows:

  • When he came — every purchase, with dates
  • What he bought — every product, itemized
  • What he paid — every payment, tracked
  • What he owes — the exact balance, at a glance

You turn the phone toward him. He looks. “Oh, haan, theek hai.”

No argument. No embarrassment. No lost customer.

Just clean numbers.

Every customer, a complete record

In BMS, every customer gets:

  • Full ledger — every purchase and payment, dated
  • Live balance — what’s owed, what’s in advance
  • Udhaar breakdown — which sale still has an outstanding balance
  • Promised Payment Date (PPD) — when they said they’d pay
  • WhatsApp reminders — one click, message ready
  • Credit / advance — accept advance payments, applies to future purchases
  • CNIC and photo — for installment plans
  • Phone and address — for verification and records

No notebooks. No scrolling through WhatsApp. Everything behind one customer’s name.

Frequently asked questions

Can I have multiple customers with the same name?

Yes. You can have multiple customers with the same name — create separate accounts for each. Identify them by color, phone number, or CNIC.

What happens if a customer's payment doesn't match a specific sale?

The system applies payment to the oldest due sale first (FIFO). This keeps the account clean and consistent.

Can a customer's balance be negative?

Yes. If the customer pays more than they owe (advance), the balance goes negative — meaning the amount is in your hands, ready to apply to their next sale.

What if I record a payment by mistake?

Open the customer, find the payment, and delete it — the balance restores automatically. Contact DigitalNation Support if you need a logged reversal.

Do I need CNIC for regular customers?

Not for regular counter customers. But if you’re offering installment plans, CNIC is mandatory — it’s legal protection for both sides.

How do I handle a disagreement about an old payment?

Open the customer’s ledger — it shows every payment with a date, method, and transaction ID. If the customer disputes it, show them the record.

Can I send the ledger to my customer on WhatsApp?

Yes. Build the ledger PDF and send it via WhatsApp — it comes from your WhatsApp, not the system.

Important notes

💡 Every customer, their own account You can have multiple customers with the same name — create separate accounts for each. Identify them by color, number, or CNIC.

💡 When recording payments Always record the payment against the right customer’s account, not from the counter. This keeps history clean.

💡 Always keep CNIC on file If you’re offering installment plans, CNIC is mandatory — it’s legal protection for both you and the customer.

💡 Record payments immediately Enter the customer’s payment right when they pay. “I’ll do it later” means you’ll forget.

💡 Deactivate, don’t delete Old customers you no longer serve — deactivate. Their sales and payment history stay intact.
